MedSpa Learnby Zebra Doctor
A Zebra Doctor product · Built only for med spas

The treatment isn't what loses the patient. The conversation around it is.

MedSpa Learn is where your med spa builds its own training. Turn your scripts, protocols and standards into modules, enrol your team, and see who is ready before they step onto the floor.

What it is
Ready-made module templates to start from, or build your own from your scripts, protocols and house standards
A way to enrol new and existing staff and see what they have completed
Practice for patient conversations, front-of-house process and your way of doing things
What it is not
Not clinical training. It does not teach anyone how to perform a treatment.
Not a certification body, and no substitute for licensing, supervision or hands-on teaching.
Not a stock course library you have to accept as written.
Chapter one · One ordinary Tuesday

Nobody on your team did anything wrong. You still lost three patients.

9:14 am

A DM comes in asking about lip filler. It gets answered four hours later with a price and a smiley face. She books somewhere that answered in four minutes.

11:40 am

In the consult room a patient asks if tox will make her look frozen. The answer is "don't worry, it won't." She books once, never hears about a plan, and doesn't come back.

4:05 pm

A photo of day-two bruising arrives by text. It sits unanswered until closing. By Friday it's a one-star review about "no aftercare".

None of that is a skills problem. It's a language problem — and language doesn't survive in a onboarding binder nobody opens twice.

Chapter two · What we built

Your way of doing things, taught the same way every time.

Whatever your best coordinator says on the phone, whatever your owner insists happens at check-out — write it once as a module and every new starter learns it before their first shift.

Your content, not a stock library

Write a module, paste in an existing script or SOP, and it becomes something staff can be enrolled in.

Practice before the floor

New starters rehearse the conversation with an AI coach until it sounds right — not on a paying patient.

You can see who's ready

Who has been enrolled, who has finished, who still shouldn't be answering the phone alone.

Short enough to actually finish

Modules sized for the gap between patients, not a closed-clinic training day.

Chapter three · Inside the platform

Three parts. Built for how a med spa actually runs.

No corporate LMS bloat. A dashboard, a module builder you control, and a coach that talks back.

01 · DASHBOARD

Know who is ready for the floor.

Every person you enrol, every module they've finished, in one view. You stop guessing whether the new coordinator is ready to be left with the phone — you can see it.

02 · MODULE BUILDER

Write your own modules. Assign them by role.

Two ways in, and you can mix them: open a ready-made template and edit it in your own words, or start from a blank page with your phone script, consult checklist, check-out process or membership offer. Then set who learns what.

Start from a template or a blank page Role-based learning paths for each job Finished between patients, not on a closed day
03 · AI COACH

Let them fail on the coach, not on your patient.

The coach plays the price-shopper, the nervous first-timer, the patient who hates her result — and scores the reply. As many attempts as it takes, at 7am or after close.

Chapter four · Try it yourself

Pick the conversation your team gets wrong most.

Five situations every med spa has this week. See the reply that loses the patient, and the one that keeps her.

The patient says

Untrained reply

Trained reply

Run this with your own team — free In the platform, your staff type their own answer and the coach scores it.
Chapter five · Getting started

Four steps, starting the day you invite your team.

01

Build

Turn your scripts, protocols and house rules into modules. Start from a blank page or from the starter framework.

02

Enrol

Invite your team and assign each role its own path. New hires start before their first shift.

03

Practise

Personalised AI coaching role-plays the conversation and tells them exactly what landed and what didn't.

04

Clear for the floor

You can see what each person has completed, so "she's been trained" is a record rather than a feeling.

Chapter six · A starting point

Don't start from a blank page unless you want to.

Sixteen ready-made, non-clinical module templates following the patient journey. Use them as they are, rewrite them in your own words, or ignore them and build your own from scratch.

Who it trains

Everyone who meets a patient, before they meet one.

Front desk

Answering DMs, calls and "how much is it?" without sounding like a price list.

Patient coordinators

Turning a consult into a plan the patient understands and agrees to.

Providers

Not how to treat — your consent wording, your consult flow and your aftercare promise, said the same way by everyone.

Owners & managers

Onboarding a new hire without pulling your best performer off the floor for a week.

What to watch

Six things that move when the conversation improves.

We record where you are in week one, then review the same six with you at ninety days. Your numbers, not ours.

Enquiry response timeHow long a DM or web form waits before a human answers it.
Enquiry to consultationHow many people who ask about a treatment actually get booked in.
Consultation to treatmentHow often a consult ends with a plan and a date, not "I'll think about it".
Rebooking rateHow many patients leave with the next appointment already made.
Reviews and referralsWhether happy patients are being asked at the right moment.
New-hire ramp timeHow long before a new starter can be left alone with the phone.

Pricing

You pay for the AI you use. Nothing else.

Every account starts with 100 free tokens. After that it is $5 for 50 tokens — at cost, no markup. No seats, no licences, no annual contract: the only thing you ever pay for is the AI your team actually uses.

01

Start with 100 free tokens

Opening the account is free, and so is building modules. We add 100 tokens so your team can try the coach the same day.

02

Then $5 for 50 tokens

Top up whenever you want, in $5 steps. Credit never expires and there is no minimum.

03

Use it, and only pay for that

Tokens come off as your team works. A quiet month costs nothing at all.

Questions owners ask us

Does this replace our onboarding?

It's where your onboarding lives. Whatever you currently explain in person on day one becomes a module a new starter completes before their first shift.

How does pricing work?

Opening an account and building modules is free. After that you pay for usage rather than seats — modules completed and AI coach role-plays run — so a quiet month costs less than a month of onboarding.

How much time does it take per week?

A module and a role-play, done in the gaps between patients. Nobody has to close the clinic for a training day.

Does it teach staff how to perform treatments?

No, and it isn't meant to. Clinical skill comes from training, licensing and supervision in your practice. This is for everything else: your process, your standards and the conversations around the treatment.

Do we need to be on Zebra Doctor already?

No. MedSpa Learn works on its own. If you already run Zebra Doctor for scheduling and patient messaging, your team signs in with the same account.

Open a free account and get your first module live this week.

Pick the template your team fumbles most, or write the script yourself. If it doesn't change how the phone gets answered, you've lost nothing but an afternoon.
