Med Learnby Zebra Doctor
A Zebra Doctor product · For primary care

The visit takes fifteen minutes. Everything around it decides whether they come back.

Med Learn is where your practice builds its own staff training. Turn your SOPs, phone scripts and front-desk process into modules, enrol your team, and know they are ready before they work with patients.

What it is
Ready-made module templates to start from, or build your own from your SOPs, scripts and workflows
A way to enrol front desk, MAs, billing and new hires, and see what they have completed
Practice for the conversations and processes around care — phones, check-in, follow-up, billing
What it is not
Not clinical training. It does not teach diagnosis, treatment or any procedure.
Not CME, not a certification body, and no substitute for licensing or supervision.
Not a stock compliance library you have to accept as written.
Chapter one · One ordinary Tuesday

Your clinical care was excellent. The review says otherwise.

8:40 am

The phones open and the queue is already six deep. A refill request gets a "the doctor will call you back" and no note in the chart. Nobody calls back.

11:20 am

A patient forty minutes into the waiting room asks how much longer. She's told "they're running behind" with no number and no option. She books elsewhere next time.

6:15 pm

A billing question is answered with "that's what insurance says". By the weekend it's a one-star review about the office, not the medicine.

Patients cannot grade your clinical judgement. They grade the phone call, the wait, the callback and the bill — and that is what they write about.

Chapter two · What we built

Your SOPs, actually followed.

Most practices already have the process written down. It lives in a binder, a shared drive, or in the head of the one person who has been there nine years. Med Learn turns it into something every staff member is enrolled in and completes.

Your content, not a stock library

Paste in the SOP you already wrote and it becomes a module staff can be enrolled in this afternoon.

Ready before the first shift

New hires complete their path before they touch the phones, instead of shadowing whoever is free.

A record, not a recollection

You can show who was trained on what, and when — useful long after the person who trained them has left.

Hours back for your manager

The same onboarding explained out loud every few months only has to be written once.

Chapter three · Inside the platform

Three parts, built for how a practice actually runs.

A dashboard, a module builder you control, and a coach your team can practise on.

01 · DASHBOARD

Know who is ready for the front desk.

Everyone you enrol, everything they have completed, in one view — by person and by role.

Progress by role: front desk, MAs, billing Gaps flagged before a patient finds them A record of what each hire was taught

02 · MODULE BUILDER

Write your own modules. Assign them by role.

Two ways in, and you can mix them: open a ready-made template and edit it in your own words, or start from a blank page with your phone script, check-in steps, refill workflow or recall cadence. Then decide who learns what.

Start from a template or a blank page Separate paths for each job in the office Update the module, everyone gets the new version
03 · AI COACH

Let them practise on the coach, not the patient.

The coach plays the frustrated caller, the surprise bill, the third refill request — and tells them what landed. As many attempts as it takes, before shift or after close.

Role-play built on your own scripts Specific feedback, not a pass mark Escalation to the provider, practised too

You handled the frustration well and stayed out of clinical territory. You didn't tell her when she would hear back — give a day and a name.
Chapter four · Case study

Manhattan Medical Arts put their SOPs into Med Learn.

A multi-provider primary care practice in New York, running the same front-of-house process across every shift.

Staff hours saved

Onboarding that used to be repeated out loud by a manager for every new hire now runs itself in the platform.

SOPs actually followed

Check-in, refills, referrals and recalls are handled the same way at every desk, on every shift.

Fewer negative reviews

The complaints that used to reach Google were about waiting, callbacks and billing tone — the things training fixed.

Revenue from repeat patients

More patients leave with the next visit booked, and recall outreach happens on a schedule instead of when someone remembers.

The whole patient lifecycle

First call to annual recall, each stage has an owner, a script and a module behind it.

A better visit, start to finish

Patients meet the same standard of communication whoever happens to pick up the phone that day.

Quote to confirm with the client

"[Approved quote from Manhattan Medical Arts — one or two sentences on what changed for the practice.]"

Chapter five · Try it yourself

Pick the call your front desk gets wrong most.

Five situations every practice had this week. See the answer that earns the review, and the one that avoids it.

The patient says

Trained reply

Run this with your own team — free In the platform, your staff type their own answer and the coach scores it against your SOP.
Chapter six · Getting started

Four steps, starting the day you invite your team.

01

Build

Turn your SOPs and phone scripts into modules. Start from a blank page or the starter framework.

02

Enrol

Invite the office and assign each role its own path. New hires start before their first shift.

03

Practise

The AI coach runs the call, then says exactly what to do differently next time.

04

Clear for the floor

You can see what each person completed, so "she's been trained" is a record, not a feeling.

Chapter seven · A starting point

Don't start from a blank page unless you want to.

Sixteen ready-made, non-clinical module templates following the patient lifecycle. Use them as they are, rewrite them in your own words, or ignore them and build your own from scratch.

Stage one Getting through the door
01Answering the phone
02Scheduling and routing
03Insurance and eligibility questions
04Reminders and confirmations
Stage two In the office
05Check-in, the same way every time

08Difficult moments at the desk
Stage three After the visit
09Relaying provider instructions
10Portal messages and callbacks
11Refill and prior-auth workflow
12Referrals and closing the loop
Stage four Keeping them
13No-show and recall outreach
14Preventive and chronic-care follow-up
15Billing questions without friction
16Complaints, reviews and escalation
Who it trains

Everyone who meets a patient, before they meet one.

Front desk & schedulers

The first voice a patient hears, and the one who decides whether the schedule holds.

Medical assistants

Rooming, handoffs and callbacks — the process around care, never the care itself.

Billing & insurance

The conversations that turn a surprise balance into a complaint, or into an understanding.

Practice managers

Onboard a new hire without pulling your best person off the desk for a week.

What to watch

Six things that move when the office runs the same way twice.

We record where you are in week one, then review the same six at ninety days. Your numbers, not ours.

Call handling and hold timesHow long a patient waits to speak to someone who can help.
No-show and cancellation rateWhether reminders and recalls are actually going out the way you wrote them.
Negative review volumeHow many complaints are about the office rather than the medicine.
Repeat and preventive visitsHow many patients leave with the next appointment already booked.
Manager hours on onboardingTime spent explaining the same process to each new hire out loud.
New-hire ramp timeHow long before a new starter can be left alone with the phones.

Questions practice managers ask

What is Med Learn?

Med Learn is a free staff-training platform for medical practices. A practice starts from ready-made module templates or builds its own from its SOPs and phone scripts, enrols front desk, medical assistants and billing staff, and tracks who has completed what before they work with patients. It is made by Zebra Doctor, is free for solo doctors and small offices, and is billed on usage after that.

Does it teach staff anything clinical?

No, and it isn't meant to. Clinical skill comes from training, licensing and supervision in your practice. This covers the process around care: phones, check-in, callbacks, billing and follow-up.

How does pricing work?

Opening an account and building modules is free, and stays free for solo doctors and small offices. Beyond that you pay for usage rather than seats — modules completed and AI coach role-plays run — so a quiet month costs less than a month of onboarding.

We already have SOPs written. Is this extra work?

That's the ideal starting point. Paste what you already have into a module — or drop it into one of our templates — and it becomes something you can assign, track and update in one place.

Do we need to be on Zebra Doctor already?

No. Med Learn works on its own. If you already run Zebra Doctor for scheduling and patient messaging, your team signs in with the same account.

Open a free account and get your first module live this week.

Start from a template, or with the SOP your team drifts from most. If it doesn't change how the phone gets answered, you've lost nothing but an afternoon.
